Support the Events Manager in the planning, coordination, and execution of various internal and external company events, including meetings, conferences, and social gatherings.
Responsibilities
+ Event Planning Support: Assist with event logistics and communicate with vendors throughout the event planning process to ensure event details are accurate and executed as planned. This includes managing catering, décor, signage, audio/visual equipment, transportation, and Destination Management Companies. Maintain accurate records and documentation of events and results for post-event reporting and analysis.
+ Administrative & Office Support: Perform administrative tasks such as data entry, RSVP tracking, rooming lists, event registration, and responding to attendee inquiries. Help prepare and distribute event materials such as invitations, name badges, signage, and event-branded materials. Create flyers and invitations.
+ Accounts Payable Support: Create Purchase Orders and process invoices weekly.
+ Other Duties: Serve as a backup for promo ordering and perform additional duties as assigned.
Additional Skills & Qualifications
+ 1+ years of experience with Event Coordination/Administrative Support.
+ 1+ years of experience with vendor management.
+ Ability to create purchase orders and process invoices.
+ Proficiency with Microsoft Office.
+ Experience with Canva
+ Familiarity with event management software such as Smartsheet or Whova.
Work Environment
The position offers a hybrid schedule with on-site work required three days per week, specifically on Wednesdays. The contract is open-ended, with a minimum duration of six months, offering potential for longer-term engagement.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
