Summary Of The Job - The Pastoral and Administrative Assistant provides comprehensive parish administrative support with particular attention to the ministerial and liturgical aspects of parish life at St. John Paul II. This is a part-time, non-exempt position averaging 20 to 25 hours per week. The typical work schedule is Monday – Thursday 8am – 1pm.
Primary Duties And Responsibilities - Provide receptionist services for the parish office. Welcome and direct visitors, answer telephone and direct calls appropriately.
- Maintain parish database. Register new parishioners, update database records for parish roster.
- Responsible for the creation and distribution of the weekly email communication and parish bulletin including design, layout, writing and editing.
- Draft and monitor the liturgical schedule, oversee the scheduling of volunteers for liturgical services and coordinate ministry training using various software.
- Prepare Mass petitions and announcements.
- Maintain parish calendar and oversee the parish general email inbox. Responding to emails in a timely, professional and pleasant manner.
- Assist in organizing volunteer services for special parish events and ministry activities. Collaborate with ministry leaders.
- Monitor the parish website and submit update requests for website changes including upcoming events, ministry information, changes in schedules, etc.
- Additional duties as assigned.
Knowledge, Skills And Abilities - Strong communication skills (verbal and written) to professionally communicate and represent the parish in a welcoming and upbeat manner.
- Familiarity with Catholic teachings and liturgical practices
- Eager to provide support to the parishioners in their works of charity and ministry.
- Comfortable with money handling and bookkeeping. Able to follow strict internal control protocols regarding financial transactions.
- Works well in collaborating efforts and has a teamwork mentality.
- Ability to work independently, take initiative, and prioritize multiple responsibilities.
- Demonstrates discretion and a high level of confidentiality in handling sensitive information.
Qualifications - High School Diploma with a minimum of 3 years’ experience in a parish or professional office setting with clerical responsibilities.
- Experience with Microsoft Suite of products including Microsoft 365, Teams, OneDrive, Excel, Publisher.
- Experience with Google Suite of products including Google Calendar, Google Sheets, and Email.
- Practicing Catholic in good standing.
- Note: Work is located in parish office, a 2 level building, with no elevator.
